Connect ClickUp sales pipeline to SendPulse follow-up emails (simple, no-code) Project overview We are a small UK service business using ClickUp (free plan) to manage sales enquiries and SendPulse for email follow-up. We want a simple, reliable integration where specific status changes in ClickUp result in contacts being tagged in SendPulse, triggering existing email automations. This is not a CRM rebuild, not a complex automation project, and not a long-term retainer. ________________________________________ Tools in use • ClickUp (Free version only) • SendPulse • Microsoft Outlook / Microsoft 365 • All emails are sent from and replied to: info@greenergardens.co.uk ________________________________________ What we need built Automation 1 – Quote follow-up When a ClickUp task is moved to the status: “Electronic Quote Sent – Follow Up” The system should: • Create or update the contact in SendPulse • Apply tag: quote-sent • This tag triggers an existing SendPulse automation • The email is sent 48 hours later • If the customer replies, the automation should stop (standard SendPulse behaviour) ________________________________________ Automation 2 – Post-survey follow-up When a ClickUp task is moved to the status: “Quote Visit Complete – Follow Up” The system should: • Create or update the contact in SendPulse • Apply tag: survey-complete-follow-up • This tag triggers a separate SendPulse automation • The email is sent 5 days after the survey date ________________________________________ ClickUp setup (do not redesign) Statuses used • Electronic Quote Sent – Follow Up • Quote Visit Complete – Follow Up Required custom fields Field name Type Purpose Customer Email Email Primary identifier Customer First Name Text Email personalisation SendPulse Sync Checkbox Safety switch – automation runs only if checked Survey Date Date Used for 5-day delay ⚠️ Automation must only run when SendPulse Sync = checked. ________________________________________ SendPulse setup Tags (exact names – no variations) • quote-sent • survey-complete-follow-up Automations • Automation A: Triggered by quote-sent → wait 48 hours → send email • Automation B: Triggered by survey-complete-follow-up → wait 5 days → send email Rules • If the contact replies → automation stops • If the tag is removed → automation stops • If the contact already exists → update, do not duplicate ________________________________________ Email handling (important) • All automated emails must be sent from and replied to info@greenergardens.co.uk • Emails are managed in Outlook 365 • Customer replies are handled manually by our team • No inbox parsing, CRM email tracking, or Outlook automation is required ________________________________________ Email visibility & record-keeping (important) • Automated emails sent via SendPulse must appear in the Sent Items of info@greenergardens.co.uk (Outlook 365) • This inbox is used as a lookup and reference point by the office team • No separate dashboards or reporting tools are required • Any team member should be able to search the inbox and see the full email history ________________________________________ Important constraints • Must work with free ClickUp (no ClickUp automations or paid features) • No custom code • No complex logic or branching workflows • Manual status change is the trigger • SendPulse email content already exists (copywriting not required) ________________________________________ Deliverables • Working integration tested with a dummy contact • Short handover note (bullet points only) explaining: o What triggers what o How to stop or pause emails if required ________________________________________ Ideal freelancer • Experience with SendPulse automations • Comfortable with simple CRM / pipeline logic • Happy to follow a clearly defined brief • Estimated effort: 2–4 hours ________________________________________ To apply, please confirm 1.
