When a tenant sends an email regarding a maintenance issue, they should automatically receive a response with a link to an online form.
2. Online Form Design: The form should:
Capture essential fields: Tenant's Name Tenant's Email Address Tenant's Phone Number Location of the Maintenance Issue (e.g., kitchen, bathroom) Detailed Description of the Maintenance Issue File Upload Field for images or videos (mandatory to complete). Ensure all fields are mandatory. Prevent submission until all required fields are completed.
3. Automated Reference Number Generation:
Upon successful form submission, tenants should receive a unique reference number for their maintenance issue. This reference number must be: Automatically updated on the backend Google Sheet alongside all other submitted form data. Included on the downloadable PDF work order created for the contractors.
4. Backend Integration with Google Sheets:
All submitted form data must automatically populate a Google Sheet in real time. The Google Sheet should include: All the details submitted by the tenant. The unique reference number. The data must be clearly organized for the property management team to view and manage.
5. Automatic Work Order Creation:
